Steps

  1. 1

    Open Invoice

In EnakVP, go to Report & Payouts > Invoice and tap Create Invoice. The Create Invoice (draft) window opens.

  2. 2

Pick the customer and their orders

Choose the Customer. Only customers with pending payment orders are listed. Then tick their bills under Orders to invoice. Each line shows the order number with the amount still owed on it.

  3. 3

    Issue it

The invoice starts as Draft, numbered something like INV-00001. Check it over, then tap Issue. The status becomes Issued and the issue date is stamped. Tap PDF or Excel to send it to the customer.

  4. 4

    Record the payment

When the money arrives, tap Record Payment. The Amount is pre-filled with what is outstanding, choose a Method from Cash, Bank transfer, QRIS, E-Wallet or EDC, and add a Note if you want one. The status moves to Partially Paid or Paid on its own.

  5. 5

    Void one you got wrong

Tap Void on the wrong invoice. EnakVP spells out what happens: "Voiding removes this invoice from tracking. Orders will show as not invoiced again." The invoice and every payment on it stay on file, and the orders become free to put on a new invoice.

A voided invoice cannot be brought back. Raise a new one for the same orders instead. The five statuses are Draft, Issued, Partially Paid, Paid and Void.

Good to know

A little more depth, so your team understands why, not just which button.

From a tab to an invoice

An account customer appears in Pending Payments the moment a cashier puts a bill on their name. An invoice then gathers several of those bills into one numbered document. One invoice can only hold orders from one customer at one venue.

Void keeps the trail

Void deletes nothing. The invoice stays, stays openable, stays exportable as PDF or Excel, and every recorded payment is kept. Only the status changes, which puts its orders back to Not invoiced so they can be billed again.

The payment methods on offer

Record Payment offers Cash, Bank transfer, QRIS, E-Wallet and EDC. On Account is deliberately missing: this invoice is what settles that debt, so it cannot be paid with more debt.

Move a bill before you invoice it

If a bill went onto the wrong name, fix it in Pending Payments with Assign before you raise the invoice. Once it is on an invoice, EnakVP refuses to move it until that invoice is voided.
